About the Role

We are seeking a full-time Administration Officer to join the Girls Time Out Young Women's Support Service Inc. team in North Rockhampton. This is a pivotal position that will provide essential administrative and clerical support to our organisation, ensuring the smooth and efficient operation of our day-to-day functions. The Administration Officer will play a key role in supporting our mission by managing administrative tasks, coordinating organisational activities, and maintaining our systems and processes. This role is integral to ensuring that our team can focus on delivering high-quality support services to the young women we serve.


Key Responsibilities

  1. Managing general office administration including filing, data entry, scheduling and document management

  2. Providing secretarial support including answering phone enquiries, greeting visitors and responding to correspondence

  3. Organising and coordinating meetings, events and appointments for staff and service users

  4. Maintaining accurate records and databases, ensuring compliance with relevant privacy and confidentiality requirements

  5. Assisting with the preparation and distribution of reports, newsletters and other communications

  6. Managing office supplies and equipment, ensuring inventory is maintained at appropriate levels

  7. Supporting the coordination of programmes and activities offered by the organisation

  8. Processing invoices, receipts and other financial documentation as required

  9. Providing administrative support to management and programme staff as needed

  10. Contributing to the maintenance of a welcoming and professional office environment


What We're Looking For

  1. Certificate III or IV in Business Administration, or equivalent qualification or demonstrated experience in administration

  2. Proven experience in a general administrative or office support role within a community services, not-for-profit or similar environment

  3. Strong organisational and time management skills with the ability to manage multiple tasks and priorities effectively

  4. Excellent written and verbal communication skills, with the ability to communicate professionally with diverse stakeholders

  5. Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with database management systems

  6. Attention to detail and accuracy in data entry and record keeping

  7. Ability to maintain confidentiality and work with sensitive information in accordance with privacy legislation

  8. Strong customer service orientation and commitment to supporting young women with compassion and respect

  9. Flexibility, adaptability and a willingness to support the wider team and contribute to organisational goals

  10. A Positive Notice Blue Card is essential and a current National Police Clearance

  11. Experience with not-for-profit or community sector administration is highly desirable
